Fleet Management

State announces AVL installation efforts

OMES Fleet Management is resuming efforts to assist agencies seeking compliance with Executive Order 2023-14 to address the surplus of vehicles owned by the state. A key provision of the order is equipping all vehicles owned by the state with an automatic vehicle locator (AVL).

On March 28, OMES Fleet Management kicked off a statewide AVL installation event at their Daily Rental site in Oklahoma City. During the month of April, the Fleet team plans to host multiple installation events at sites in Tulsa, Oklahoma City,

Wilburton (Robber’s Cave State Park), Ardmore (Lake Murray State Park), Lawton, and Watonga (Roman Nose State Park). If your agency has eligible vehicles within 100 miles of these locations, you are strongly encouraged to take advantage of this opportunity to have a Geotab AVL device installed at no cost. Most light- and medium-duty vehicles are eligible.

Installation appointments may be made online, and more detailed information has been shared with agency fleet administrators

AVL installation for vehicles ineligible for the April events, as well as vehicles needing AVL troubleshooting, will be conducted during May. In addition, make-up events for eligible agency vehicles missed during April will be hosted during May at the agency’s expense.

After installation, agencies will be billed $22 per vehicle, per month, by OMES Fleet Management for monitoring. The myGeotab web application provides near real-time information about vehicle location and speed in addition to other metrics such as tire pressures, engine faults and electrical system concerns. The system also facilitates automatic maintenance, usage and utilization management to help extend the useful life of state vehicles and help ensure the correct number and type of vehicles are available for agency missions.

Real Estate & Leasing Services

Welcoming two new members to the team

Kelly Thompson and Brandon Ramirez have joined the Real Estate and Leasing Services team.

Thompson's focus will be assisting customers with new space acquisitions and guiding our customers through the space request process, while Ramirez's focal point will be data analysis and assisting customers with leases and other contracts in state-owned buildings.

Both will be participating in the efforts to improve our processes and enhance the customer experience. REALS is excited about the fresh perspectives and diverse experiences the two bring to the team.

REALS/SRM inventory reconciliation and combination ready to go

REALS and State Risk Management are excited to announce the integration of the Annual Real Property Inventory Report survey into the existing SRM Property Value survey. This initiative will eliminate duplications in information that agencies are required to submit to OMES each year. Moving forward, a single survey will capture the information needed by both OMES departments.

REALS is working with SRM to reconcile the information on the 2023 Real Property Inventory and the recently completed Property Values survey. Since the survey will launch January 2025, REALS will conduct a partial audit for 2024. In doing so, REALS will reach out to our partner agencies as needed to verify information when there are discrepancies in the data or if additional information is needed.

This new combined survey will produce one comprehensive listing of all the state’s property, with more accuracy and detail than we have had in the past. Another benefit is it will eliminate the duplication efforts of our partner agencies. CAM and RAC will provide periodic updates through our respective newsletters. If you have any questions as we go through the process, please reach out to REALS, SRM or your OMES account manager for more details.

Construction & Properties and REALS

Purchase order update

REALS is updating our purchase order process and new training tools are coming soon. In the meantime, the following information will help guide you with the existing processes for CAP and REALS.

An e-Pro requisition is not currently required by CAP or REALS.

CAP and REALS have two approvals after the purchase orders are routed to OMES. The primary first-level approver for REALS is Ramona Parker, and for CAP it's Joshua DeBaud. Please reach out to Parker or DeBaud if you have questions or concerns about purchase orders.

REALS no longer requires an electronic copy of purchase orders be submitted to the inforeals email address as long as the contract and the supporting documents are attached to the purchase order in PeopleSoft.

In order to ensure your purchase order is routed correctly, you must use the correct category codes and origin codes. The origin code for CAP is CAP and the origin code for REALS is LSG.

The category codes can be found on this document.
