July 2024
General updates
Good morning,
CAM constantly strives for improvement, and we aim to equip your teams with the necessary resources to do business efficiently. We invite you to enjoy the July edition of the Capital Assets Management newsletter highlighting developments across our division.
Request CAM services through ServiceNow
Many of our departments are in the process of shifting away from shared department-wide email addresses to ServiceNow. This work management system will allow our teams to track and address every request submitted to us and assist us in improving our quality of service. REALS, CAP, ITAM and Central Printing all have catalog items for their services live and available in ServiceNow.
If you are a citizen trying to access state services, please use this link to visit the citizen ServiceNow portal.
We appreciate your patience with our teams as we navigate this new platform, and we look forward to improving your experience as a customer.
State Suppliers Expo pre-registration is live
Pre-registration is now live for the fourth annual State Suppliers Expo. Oklahoma's biggest government-business networking event of the year will be Sept. 25-26. To learn more or pre-register, please visit the expo website.
As always, if you have any questions or concerns, please contact me or my team for assistance.

Facilities Management
Upcoming listening session
On Aug. 6 from 2-4 p.m., OFM is hosting a "Facilities Management Listens" session. We would like to hear your feedback on areas of opportunity for the team.
In advance of the session, we ask that you RSVP and suggest any topics of interest you have for discussion or provide anonymous feedback. If you did not receive an invite to the session and would like to attend, please reach out to your OMES account manager.
Fleet Management
Geotab AVL installations
A detailed agency-by-agency process to reconcile agency vehicle inventories with the Geotab database has commenced. Agencies with Geotab-equipped vehicles may expect to be contacted regarding this process in August. Once completed, all agency vehicles will be visible in myGeotab, and the agency will assume responsibility for their administration going forward.
During the reconciliation process, agencies will be asked to provide the location of each AVL-equipped vehicle that is not communicating properly. Fleet needs this information to finish planning statewide troubleshooting efforts, which will be in conjunction with AVL installations for heavy-duty vehicles and any other eligible vehicles not yet equipped.
Daily Rental renovations
In early August, renovations will begin to install an ADA-compliant restroom on the first floor of the Connors Tower Annex at the west end of the Connors Building Skybridge. The Daily Rental office will be relocated on the second floor during renovations, which are expected to be completed in November 2024.
Access to the skybridge stairwell, elevator and Daily Rental will not be interrupted, but employees are reminded to use caution while walking through the work zone.
OMES IT and the vendor are completing networking, software installation and configuration of the key kiosk located in the foyer of the stairwell at the west end of the Connors Building Skybridge. Fleet intends to put the kiosk into service for Daily Rental customers in early August.
A temporary barrier will be emplaced at the entrance to the fenced lot to direct traffic around the excavation within the southern return lane. Vehicles will be required to make a sharp left turn once inside the lot and park returning vehicles within an extended inner return lane.

Construction and Properties
Doing Business with CAM: CAP Focus
On Aug. 21 from 1-2:30 p.m., CAP is hosting a "Doing Business with CAM" session focused on CAP operations. This will be a high-level overview training of critical CAP systems. There will also be an opportunity to ask questions to the team about these systems or raise other concerns.
In advance of the session, we ask that you RSVP. If you did not receive an invite and would like to attend, please reach out to your OMES account manager.
Welcoming two new team members
The CAP team is excited to have two new members, Nicole Fulmer and Dustin Robinson, joining the team as assistant project managers. Fulmer has extensive experience in construction, including unique experience building log cabins. In her free time, she is a proud mother and enjoyed homeschooling her kids when they were young. Robinson has over 15 years of construction experience including a vast knowledge and understanding of electrical and HVAC systems. In his free time, he enjoys coaching football with his kids and has held the championship title for three years.
CAP Listens session recap
On July 16, our team hosted the second installment of "CAP Listens" to hear feedback from our customers and answer questions pertaining to our services. We were able to provide insight into our processes including our purchase order process, emergency mitigation, communication plan, change order management, and delivery methods. The resources that were distributed at this meeting are now live on the CAM CAP website. Thank you to all who participated in the session; we greatly value your time and feedback as we work to enhance our partnerships.
Jim Thorpe Building update
Further coordination on final plan details has resulted with additional preparatory work happening on the site, such as additional wall demolition to make way for new mechanical chases and improved fire ratings. Temporary fall protection barriers are being installed for worker awareness and safety. Select areas of concrete floor infill and curbs are being formed and poured that will serve as the base to new restroom walls. Dimensional wall layouts have
been confirmed and QUAD Construction is in the process of laying and marking out for the walls. Approximately 40% of the building’s walls are laid out. Site investigations are also near complete in providing final feedback for structural designs.
Virtual models are being created and evaluated for potential exterior building façade lighting. The Early Core MEP package has been bid that includes site utilities, fire sprinkler, plumbing, HVAC and electrical scopes. All categories have come in below budget expectations. We are now preparing to make recommendations for awards and engagement with the winning subcontractors. Early shipments of electrical panel gear are beginning to arrive. We are preparing for the next major bid process for the exterior limestone façade repair and cleaning, and the final review regarding the fabrication details of the historic window replacement is in process.
For more information and photos, see the July update released by QUAD and Gardner.
Allen Wright Library update
There are a few updates to share for the Allen Wright Library this month. The team held a kick-off meeting on July 24. Now the team will dive into the feasibility study and existing building evaluation as phase one begins.
The construction manager, Manhattan Construction, has been selected and was sent a contract for signature along with a copy of their accepted proposal. We will continue to update monthly as we see progress on this project.
Real Estate and Leasing Services
Inventory reconciliation process update
The REALS team has a small update to share about the inventory reconciliation process. The team is still receiving surveys back, with approximately 70% returned. About 50% of the agencies' data has been fully reconciled. We are now in the process of sending follow-up emails to any outstanding agencies.
Deferred Maintenance Updates
With the start of fiscal year 2025, year one of implementing the state's eight-year deferred maintenance plan is underway.
The work has already begun on a few projects, beginning with air handler units in the process of being replaced at the Agriculture building and the Department of Transportation (ODOT). The Quad building will also soon have an entryway replacement as well as the Will Rogers Building having a roof and penthouse panel replacement done. Additionally, the Ag Lab is in the process of having a VFD replacement.
Concurrently, the CAM team is soliciting firms to design air handler and air terminal unit replacements at Will Rogers, Sequoyah, MC Connors and Oliver Hodge buildings. The ODOT and Denver Davison buildings are also on the list for air handler replacements.
Proposals requested for design include the Denver Davison building's east entryway, the Denver Davison elevator replacement, and the ODOT elevator replacement.
You can view the full eight-year deferred maintenance plan here.
Check back monthly for regular status updates for Deferred Maintenance projects.
