TRS Personally Identifiable Data Statement

The Teachers’ Retirement System collects and stores personally identifiable data as part of its legal duties, and only to the extent such information is needed to fulfill these duties. This information may include the name, TRS ID#, mailing address and other similar information.

How is this information stored by TRS?

To protect our members’ personally identifiable data from unauthorized access and use, we use security measures that comply with the law. The Office of Management and Enterprise Services provides 100% of the data storage. OMES and TRS security measures include computer safeguards and secured files and buildings. With whom does TRS share this personally identifiable data?

The Teachers’ Retirement System does not share any personally identifiable data with any individual or organization unless permitted by law.

TRS Privacy Statement

Purpose

The purpose of the statement is to inform visitors to the TRS Web site about the collection and use of personally identifiable information.

While we use SSL encryption to protect sensitive information online, we also do everything in our power to protect your information offline. All of our member and visitor information, not just the sensitive information mentioned above, is restricted in our offices. Only employees who need the information to perform a specific job (for example, a customer service representative) are granted access to personally identifiable information. Furthermore, ALL employees are kept up-to-date on our security and privacy practices. Any time new policies are added, our employees are notified and/or reminded about the importance we place on privacy and what they can do to ensure our member and visitor information is protected. Finally, the servers that store personally identifiable information are in a secure environment, in a locked facility.

Correcting/Updating Personal Information

If your telephone number or address has changed, we provide a way to correct or update this information. This can be done by clicking here and emailing our customer support team or, contact us by telephone or mail at the contact information listed below.

To protect our members' personal information, we ask you not include any SSN or birthday on your requests through the email. Instead, please include name, address, phone number and last employer. The email is not a secure means of information exchanges unless it is encrypted.

However, we will be working on providing you with another secure form, on our website, where you can write to our customer support team with all your questions. To better serve you and again to protect your information, our answers might be through telephone, email or regular mail depending on the nature of your questions. Answers through the email will not include any personal or sensitive information.

Notification of Changes

If we change our privacy policy, we will post those changes to this privacy statement, the homepage and other places we deem appropriate so our visitors are always aware of what information we collect, how we use it and under what circumstances, if any, we disclose it. We will use information in accordance with the privacy policy under which the information was collected.
