We're excited to share the May edition of the Capital Assets Management Newsletter to highlight a few key updates. We are constantly striving to improve transparency, communication and our customers' experience to enhance operations across the state. We hope this newsletter is a helpful avenue of communication to better serve those who serve Oklahomans.

OMES Employee Appreciation Day
We are giving a shoutout to a few of our team members who made OMES Employee Appreciation Day possible. This team helped set up the event, grill burgers for all our employees and helped make the event a success. Fleet Management
Daily rental and vehicle sharing initiatives
We have an update on our progress with the Kiosk system. This past week the Traka key cabinet was physically installed at Daily Rental.
We are actively working on programming and configuration of the system. Once this is complete we will identify a pilot group for testing and evaluation of the system. Keep an eye out for more updates from our team on ongoing initiatives in this newsletter each month.
Upcoming Doing Business With CAM session
On June 11, we are hosting a "Doing Business With CAM" session focused on OMES Fleet operations. This will be a high-level overview training of critical Fleet systems such as AssetWorks, M5, Geotab and more. There will also be an opportunity to ask questions to the Fleet team about these systems or raise any other concerns. We look forward to seeing all Fleet contacts at the session!
Real Estate and Leasing Services
Inventory reconciliation process update
Real Estate and Leasing Services is working with Risk Management to reconcile the information submitted by the agency in our property surveys. This new combined survey will produce one comprehensive listing of all the state’s property, with more accuracy and detail than we have had in the past.
Please keep an eye out for communication from our team as we begin to reach out to our customer agencies for assistance in reconciling discrepancies in the data and gathering updated information on employee counts at each location.

Construction and Properties
CAP fiscal year deadlines
The Construction and Properties deadlines for the submittal of current fiscal year 2024 requisitions are as follows:
May 1, 2024 – Requests for any construction project to be publicly bid, whether over or under $100,000.00 in value. Please make sure bid documents are fully executed, as incomplete bid documents may delay the bid schedule and not allow a timely award.*
June 1, 2024 – Requests for projects $100,000.00 and below for award on agency solicited quotes. Provide a complete package of required procurement documents as outlined in CAP Form M800. Requests for Value-Added Programs are also due at this time.
June 1, 2024 – Contract renewals, which require a Project Request Form M701 and a signed purchase order. Current forms are available on the CAP Forms web page. Don’t forget to reference the original CAP project number (formerly the DCS number) on the M701. If you choose to cancel your contract, notify CAP in writing no less than 40 days before the end of the current time period on the contract.
*Please make sure all drawings and specifications are complete. Incomplete specifications or drawings, proprietary bids or those prepared by vendors will delay the start of your project. If a consultant is required to prepare the drawings and specifications but has not been selected, please start the selection process immediately as outlined in CAP Form M100. For projects under $1.5 million, our IDIQ program contracts are available to expedite this process.

We are hosting a "CAP Listens" session on June 18 for all agency leaders and CAP contacts. As we seek to increase transparency and communication, we invite you to share your feedback on areas of opportunity for the team.
Kelley Building update
The building construction project has reached several important milestones. Carie Carmen and Brandon Ramirez from Real Estate and Leasing Services are in the final stages of contract negotiations with the Latino Community Development Agency (LCDA), who have been chosen to operate the daycare facility. The design phase is actively progressing, with Rees Associates having submitted the predesign report and continuing to collaborate closely with LCDA to refine the design.
Flintco Construction has been brought on board and is currently assisting with project budgeting to ensure financial alignment. Additionally, an assessment of the building's elevators and systems have been completed, and a plan for their
rehabilitation has been established. OMES is coordinating with teams handling security, surveillance, IT and the Oklahoma Art in Public Places program to integrate these elements smoothly into the project.
Construction is on schedule to commence in early 2025, as planned. Given the 16-month construction schedule, the state daycare and office complex should be ready for use before we know it.
Jim Thorpe Building update
There have been a few advancements at the Jim Thorpe Memorial Building. The building permit has been submitted to the State Fire Marshall for review. In terms of site work, all demolition and abatement have been completed. Electrical equipment and window replacement bidding has been completed and the team is currently reviewing submittals for purchasing. We will continue updating this section of the newsletter as the project progresses.
Allen Wright Library update
There are a few key updates to highlight for the Allen Wright Library. The selection process for the architect has been completed and Rees has been named architect. We are now in the process of finalizing contract negotiations with Rees. As we mentioned last month, Manhattan was identified as the construction manager. We are now awaiting the proposal for phase 1 services.

Brandi Evans, Automotive Service Advisor
This month, we are highlighting a team member at CAM for her dedication to service. Brandi Evans is an amazing teammate and is always willing to assist others at the drop of hat. Regardless of the issue, she moves without hesitation and intuitively recognizes when someone needs help getting back on the road. Evans continues to regularly receive kudos from customers for going above and beyond what’s expected. She is a go-to resource within our CAM Fleet team, and we truly appreciate her commitment in providing the best customer service to our customers.
