What Personally Identifiable Information is stored by the ONMVC?
The Oklahoma New Motor Vehicle Commission may collect personally identifiable data during the course of exercising its statutorily mandated duties, as supplied by employees, applicants, permittees, licensees, vendors, or other individuals doing business with or interacting with the agency. This personally identifiable data includes information which can identify an individual including, but not limited to: name, birth date, place of birth, last 4 digits of social security numbers, alien, employer or taxpayer identification number, or any other information that is linked to / linkable to an individual, such as financial, or employment information. Personally identifiable data is stored securely in accordance with Oklahoma law, as well as the State of Oklahoma's Information Security Policies, Procedures, and Guidelines.
How is this personally identifiable data stored?
This data is almost exclusively stored electronically on servers maintained by the Office of Management and Enterprise Services, with limited amounts of this data maintained in a hard copy by program managers to whom this information is submitted. Personally identifiable data collected by the Oklahoma New Motor Vehicle Commission shall be kept confidential except as disclosure may be required pursuant to the Open Records Act or as otherwise authorized by the person to whom the personally identifiable data belongs. The Oklahoma New Motor Vehicle Commission is subject to and complies with the Oklahoma Open Records Act, 51 O.S. §24A.1 - §24A.33. In accordance with said law, some agency records must be made available for review and copying upon request. Where required or allowed by law, particular elements of personally identifiable data will be redacted before making the records available. The Oklahoma New Motor Vehicle Commission will also share personally identifiable data in response to a properly issued court order or subpoena.
