Subject: Harmony Medication Tab Changes

The Harmony Informatics Team recently worked with a group of provider representatives and DHS Nurses to make updates to the Medication Tab in Harmony. Our goal with these changes is to make the entry and management of Medications in the system easier for the users.
The changes listed below will be made in production the evening of 7/11/2022 and will be fully ready for use by the AM of 7/12/2022. Please join us at the Harmony Highlights scheduled for 7/12/2022 at 11:00 am to see a demo of the changes.
Medication Tab Changes
- Several fields have been either re-labeled to better explain what is needed in the field or removed to no longer require entry.
Example: Below is a screen shot of the updated fields that will show after the update.
- Medication Search options will update so that the dosage is no longer listed, and the medication is listed as Brand|Generic name in one entry. Regardless of if the search is performed by Brand or Generic med name, the record with both listed will be found.
Example: Search was completed for Zyvox and the entry below was returned.
Due to the change in the search options, the existing meds will still show the previous entry on the List View, but when the specific med record is opened the first time for an update the listing will be blank, and the medication will have to be updated to match the new med listing.
Example: 1st screen shot shows previous listing on List View, 2nd screen shot shows Detail View when opened, 3rd screen shot shows the record updated to the new med listing. The other fields on the record will not change.
- If a medication is not available in the Harmony system or is listed incorrectly (mis-match Brand/Generic medication) the user should use the link or QR code below to submit the request for the medication to be added to the system. The Informatics Team will receive the request and add the medication to the system within 3-5 business days.
Request Medication be Added to Harmony
The user may use the option of “Other” on the Medication search and enter the name of the medication in the “Name of Medication if Other Selected” field as shown in the example below. The next time the medication record requires an update the user should also update the record to place the correct Medication in the search option as it should be available in Harmony at that time.
- Medications in the system with a previous status of “Duplicate” or “Error” will be updated automatically to the new status option of “Duplicate/Error” sometime on Monday 7/11/2022
Known Issues and Tips
- If the system is slow when adding new medications in the Nurse Eval or UCAT, the user may elect to add/update the medications using the Medications Tab of the Member record and then navigate to the assessment and select “Search” to pull the appropriate meds from the Medication Tab into the assessment.
- *Reminder any meds entered as new medications using the “Add New Medication” feature on the assessment will duplicate back to the Medications Tab of the Member record. It is important to use “Search” and pull the med to the assessment if it is already part of the Medication Tab.
- We are aware that the list view of the medications in the Nurse Eval and UCAT do not display all the fields used and shows “Medication Unit” which is not used. An enhancement request has been submitted to our vendor to see if this area can be updated to allow view of all used fields.
- We are aware that the date fields no longer used are still showing when you select “Add New Medication” from the Assessment. An enhancement request has been submitted to our vendor to remove these fields that are no longer used.
