OKDHS:2-1-46. Attendance in conference and seminars

     Employees attending conference and seminars related to Department activities as designated representative of the Department, will be considered as on duty and will be reimbursed for travel expenses in accordance with Department policy.

  • (1) Form ADM-1-B (new Form 23AD001E), must be completed ten working days in advance of the meeting for authorization to attend and travel reimbursement. The Director or designee will designate those employees attending as Department representative based on recommendations from division administrators.
  • (2) Other employees desiring to attend such meetings should make application for organizational leave on Form ADM-1-B (new Form 23AD001E), and may make application for reimbursement for registration fees. If the employee is requesting payment of registration, a memo requesting approval for payment must be submitted to the appropriate division administrator for prior approval. Upon approval, Form ADM-12 (new Form 10AD012E) should be completed for direct payment to the sponsoring organization, or Form ADM-6 (new Form 10AD006E), showing points of travel (even though mileage or transportation will not be paid) for reimbursement to the employee. Decisions regarding such reimbursement will be based on available funding, job relatedness, and order of request. Employees approved to attend such conferences and/or seminars will be considered on duty and no leave will be charged.
