Medicaid Services Update

Subject: Harmony Updates

Harmony will be unavailable for all users 8/22/2021, starting at approximately 5pm and ending at approximately 11pm, during the normal Sunday night maintenance window. This downtime will allow for the following updates to be deployed to the production site:  

  • Update system to add new roles for the OHS Health Care Management Nurses (HCMN’s) into Harmony production. This update will begin the transition of moving our nursing staff from our legacy system into Harmony.
  • Upgrade Harmony production to the summer release (Version 8.5.4.3)

System changes as of 8/23/2021 include:

Member Chapter

  • Provider Enrollment Tab – An OKDHS Medicaid Services Unit record will be placed on cases when an application is received via the new Online Application system. This record will be used by the OHS HCMN’s to track and process cases. The status on these records should not be updated. If there is a need to update a record status to suspension, resumption, etc., the OKDHS Medicaid Services Unit records should not be touched, all other provider records on the case may be updated, as appropriate.  
  •  Documents Tab - The old version of the “Uniform Comprehensive Assessment Tool – Part III” will still be received on some new cases. The OHS Nurses will continue to process all pending applications received in the legacy system. We expect this could take until mid to late October for all pending applications to have a financial decision and be fully transmitted into Harmony, at which point, all new Members will have the new “Uniform Comprehensive Assessment Tool (UCAT).”
  • My Harmony Chapter
    A link to the new Online Application will be added to the “Links” Pane. This link should be used only when submitting a new ADvantage or State Plan Personal Care referral for someone in the community that is not a current Member or someone wanting to transition from ADvantage to SPPC or SPPC to ADvantage.

*As a reminder, please do not tag OHS staff in Member notes. All communication of issues or requests for processing should be completed by submitting the Plan appropriately to SPA Review/SPPC SPA Review OR submitting a PQ ticket.

**OHS Social Service Specialist (SSS) that complete financial eligibility have a read only role in Harmony. They do not receive or send notes currently. If communication with the SSS is needed, a phone call or email to them will be required.
