AAU Provider Update: CDA Updates

November 7, 2011

IVR Updates

The Interactive Voice Authentication System was implemented on October 1, 2011.  Our reports are indicating that some Personal Service Assistants (PSA) are calling in from numbers other than what we have recorded in our system as the home telephone number for the member.  Please encourage Members to have their PSA’s call from their home phone numbers. If a PSA misses a “call in” or “call out” time, they need to complete a missed call report for the missed “call in” and/or “call out time” and fax to the number printed on the missed call report form.  Missed call report forms can be obtained on the PPL Website: Please Note:  Timesheets are no longer accepted.

Case Management Monitoring

Case Managers are required to follow the same case management standards for all Members including those who choose the CD-PASS service option.  At a minimum Case Managers are required to complete a monthly monitoring visit and a quarterly home visit.  Additionally, the Case Manager is required to complete a monthly home visit if the Member is receiving personal care services from a family member.

Implementation of CD-PASS Services

PSA’s will not receive reimbursement for services provided until the following conditions are met:

  • All of the required employer and the employee forms must be completed correctly and returned to PPL
  • PSA’s background checks are clear
  • PPL has an authorized service plan

OKDHS recommends that Case Managers extend the implementation date of CD-PASS service at least two weeks after the home visit to allow for the Service Plan Authorization team to review the service plan, allow for corrections to be submitted if necessary, and for the service plan to be authorized.

For example, the home visit is completed on November 1, 2011 to add CD-PASS services to the plan.  The date of implementation should be no sooner than November 15, 2011.

Hiring a New Employee

PSA’s will not receive reimbursement for services provided until the following conditions are met:

  • All of the employee paperwork forms must be completed correctly and returned to PPL
  • PSA’s background checks are clear
  • PPL has an authorized service plan
